The Ultimate Wedding Checklist: A Timeline-Based Template

Why a timeline beats a to-do list

A flat list of two hundred wedding tasks is not a plan, it is a source of anxiety. Everything on it looks equally urgent, which means nothing does, and the tasks with long lead times — the ones that actually determine whether the wedding works — get buried under things you could do in an afternoon.

A timeline fixes this by answering one question at a time: what has to happen now? Everything else stays out of view until its month comes around. It also exposes dependencies. You cannot finalise catering numbers before the guest list is closed, and you cannot close the guest list before the invitations are ready to go out.

Work backwards from the date, not forwards from today

Most checklist templates are written for a twelve-month engagement. Plenty of South Asian weddings are planned in four months, and some in six weeks. A template with fixed month headings is useless in those cases.

Date every task from the wedding day instead. "Book the photographer" is not a January task, it is a five months before task — and if you have four months, it becomes urgent today rather than something you have already missed. This is the single most useful property a wedding checklist can have.

The checklist, by milestone

12 to 9 months before

Everything here is a constraint that everything else hangs off.

  • Agree the total budget, and who is contributing what. Do this first — it decides every other item.
  • Draft the guest list to a rough headcount. Not names yet, just a number.
  • Decide which events you are holding: Mehndi, Gaye Holud, Haldi, Sangeet, Nikah, Biye, Walima, Bou Bhat, reception.
  • Shortlist and visit venues. In Dhaka, Delhi, Karachi and Lahore the good community centres and banquet halls go 9 to 12 months ahead for peak season.
  • Book the venue and lock the date.

9 to 6 months before

  • Book the photographer and videographer. Good ones book out furthest.
  • Book catering, and confirm whether the venue requires its own caterer.
  • Order bridal outfits. A custom lehenga, sharara or Banarasi sari needs three to six months, plus fittings.
  • Book the decorator and discuss the stage.
  • Start the invitation design and confirm the wording for each ceremony.

6 to 3 months before

  • Finalise the guest list to actual names and addresses, split by event.
  • Print or send invitations. Overseas guests need this earliest — factor visa timelines.
  • Book the makeup artist and hair stylist, and schedule a trial.
  • Book mehndi artists, musicians and any performers.
  • Arrange transport for the baraat and for out-of-town guests.
  • Block hotel rooms for travelling family.
  • Choose and pick your wedding hashtag, so it can go on the printed cards.

3 to 1 months before

  • Follow up on RSVPs. Expect to chase; a meaningful share never reply to the card.
  • Attend the catering tasting and confirm the menu.
  • Confirm the ceremony details — for a Nikah, the Mahr, the witnesses and the Wakil.
  • Attend final outfit fittings.
  • Build the day-by-day schedule and share it with both families.
  • Confirm every vendor in writing, with arrival times.

The final month

  • Give the caterer the final headcount. This is usually a hard deadline with money attached.
  • Finalise the seating plan.
  • Write and rehearse any speeches.
  • Confirm payment schedules and set aside cash for tips and same-day costs.
  • Delegate. Name one person per event who handles vendor questions on the day, so it is not the couple.

The final week

  • Reconfirm arrival times with every vendor, individually.
  • Pack for each event separately — outfit, jewellery, shoes, accessories in one labelled bag per function.
  • Hand over the schedule, the vendor contact sheet and the payment envelopes to your delegate.
  • Prepare an emergency kit: safety pins, thread in your outfit colours, stain remover, painkillers, a phone charger.
  • Sleep. It is a task.

What generic templates get wrong about multi-event weddings

Most wedding checklists you will find online assume one ceremony and one reception. A South Asian wedding is frequently four to seven events across several days, and that changes the shape of the plan in three ways.

  • Guest lists differ per event. An aunt attends everything; a colleague attends the reception only. Tracking one combined list produces the wrong catering numbers for every individual function.
  • Outfits multiply. Each event needs its own outfit, jewellery and footwear, for the couple and often for immediate family. That is a procurement schedule, not a single task.
  • Two families host different events. The Walima and the Bou Bhat are hosted by the groom's family. Your checklist needs an owner column, or those tasks fall in the gap between the two households.

Print it, or keep it on your phone

Both, ideally. A printed checklist is what gets stuck to a wall where the whole family can see progress, which is worth more than it sounds when four people are contributing. A phone copy is what you actually consult in a vendor meeting.
