Why one combined list goes wrong

A multi-event wedding does not have a guest list; it has several. An aunt attends everything, a colleague attends the reception only, and a neighbour is invited to the Mehndi but not the Nikah. Tracking one merged list produces the wrong catering number for every individual function.

Track attendance per event from the start. It costs nothing early and is extremely painful to reconstruct once invitations have gone out.

RSVPs, and chasing them

Expect to chase. A meaningful share of guests never reply to a card, and caterers want a real number against a hard deadline with money attached to it. Asking guests which functions they will attend, rather than simply whether they are coming, is what makes those numbers accurate.

Keep a phone number against every household. When the deadline approaches, a short direct message resolves more replies in an evening than a printed RSVP line does in a month.
